Training Regulations

CHAPTER I – PURPOSE, SCOPE AND DISCLOSURE

Purpose
The purpose of the Edit Value Training Regulations is to clearly define the rules that guide training activities. This document is essential to ensure the proper development of training actions and to promote a balanced relationship between all those involved, guaranteeing transparency and avoiding any potential conflicts or misunderstandings. All participants in the training process are responsible for complying with and enforcing the provisions established herein.

Scope
These Regulations apply to all parties involved in the training process, including Pedagogical Coordination, client companies or organisations, individual external participants (general public), as well as Trainers and any other agents involved.

Disclosure
These Regulations constitute a publicly accessible document and may be consulted by Trainees, Trainers and other stakeholders. They are available at: editvalue.com/formacao
The Training Operating Regulations form an integral part of the training contract, and the Trainee must be made aware of their content at the time of its conclusion. In the case of training aimed at companies or client organisations, this document is made available from the initial contacts, ensuring prior knowledge before the formalisation of the contract or any other type of award.~

» Performance Training:
Training is a decisive investment for professional success. Strengthening transversal (soft skills) and specific (hard skills) competencies is, in the current scenario, a requirement for all those who wish to enhance their integration into the labour market and seek new professional challenges.
Based on solid experience and knowledge of the labour market, we identify training actions that will enable the updating of skills and increased performance. We develop an annual Performance Training Plan adapted to the needs of our target audience.
These training courses take place in face-to-face format (at Edit Value premises or at a location defined by Edit Value) or in online format.
Online training allows attendance from any location where there is a computer with internet access, without giving up the quality of training and direct contact between Trainers and participants.

» Indoor Training:
We structure training tailored to each company, to its size, its needs and its organisational strategy.

» Outdoor Training – Teambuilding:
Structured based on concrete objectives, Edit Value’s teambuilding programmes strengthen company identity through activities that promote team empowerment, emotional involvement and motivation, transferable to the organisational context.

» Integrated Human Resources Management Solutions:
We develop integrated HRM solutions that adapt to the business model of our (potential) clients.


CHAPTER III – TRAINING POLICY, CODE OF ETHICS AND SOCIAL RESPONSIBILITY OF EDIT VALUE

Training Policy
Training is intended to be a continuous and ongoing process of personal and professional development. Acting not only as a factor of professional qualification, insofar as it provides the acquisition of strategic, technical and relational skills, it also presents itself as an agent of organisational innovation, stimulating leadership, initiative, participation and creativity capacities.

To implement its policy, Edit Value is guided by the following principles:
- Dignity of all professionals;
- Equal opportunities in access to training;
- Adequacy of training to actual training needs;
- Timely access to available information on training.


CHAPTER IV – METHODS OF ENROLMENT AND SELECTION OF TRAINEES

Access Requirements and Enrolment
1 – Pre-enrolment in Edit Value Performance Training (inter-company training) requires completion of the online Pre-Enrolment Form (editvalue.com/formacao).
2 – Enrolment will only be validated if it meets the following conditions:
- After payment of the training action fee, by bank transfer or via Multibanco reference, available on the invoice that will be sent by email to those enrolled, and with confirmation of payment by Edit Value;
- Inter-company training actions only take place when there is a minimum number of enrolments or when that number is lower, but Edit Value still considers that it should take place;
- Intra-company training actions are not subject to pre-enrolment. Edit Value defines with the Client the number of participants per action.
3 – To attend online training actions, Trainees must ensure that they meet the following requirements:
- It is the responsibility of the Trainee to ensure that they have skills such as browsing the internet, attaching files to a message, downloading files, publishing videos, completing online forms, among others;
- Some training actions may have other requirements. Before proceeding with enrolment, the Trainee must ensure compliance with the additional and specific requirements necessary to attend a given course, namely in terms of equipment, software, skills, professional experience, academic qualifications and command of foreign languages, among others that may be mentioned in the description of the course they wish to attend;
- In the case of intra-company training, Edit Value verifies these requirements directly with the client.

Selection
The selection of Trainees is carried out only in situations where the number of applicants exceeds the number of available places. In such cases, the following points will be taken into account:
1 – Edit Value selects Trainees for training actions based on criteria that ensure, as far as possible, the achievement of all the objectives set for each training action. In this sense, two selection criteria are applied:
- Order of enrolment;
- Compliance with previously established prerequisites.
2 – At the time the Trainee intends to enrol in a training action, if prerequisites are established, they will be communicated by Edit Value.
3 – In intra-company training actions, Edit Value defines the selection criteria with the Client, which will be their responsibility.

Training Contract
A training contract is concluded with Trainees in the case of inter-company training and a Service Provision Contract with companies in the case of intra-company training, in order to comply with practices and standards of conduct that preserve their integrity, as well as service quality.

Interruptions, Postponement and Cancellation
1 – Cancellation of Enrolments: cancellation of enrolment may be carried out with simultaneous enrolment in another training action from the training plan or implies the refund of only 80% of the amount.
2 – Postponement of Actions: Edit Value reserves the right to postpone the start of any training action beyond the initially scheduled date, which implies the refund of the amount already paid by the Trainees or the use of that amount to attend other training actions if the Trainee so wishes. The final start date of the training action will be confirmed to the Trainees at least 3 working days before its start, by telephone contact or email.
3 – Cancellation of Actions: Edit Value communicates the cancellation of actions to enrolled Trainees up to 2 working days before the scheduled start. Whenever the action is cancelled, the amount paid by the Trainees will be fully refunded. However, the Trainee is not entitled to any compensation or indemnity due to the non-occurrence of the training action.


CHAPTER V – PAYMENT TERMS AND REFUND POLICY

Payment and Refunds
1 – At the time of enrolment, payment of the training fee is required, either by bank transfer or via Multibanco reference sent by email.
2 – The enrolment fee includes attendance of the training action under the advertised terms, as well as access to supporting documentation.
3 – Edit Value reserves the right not to allow attendance of the training action by the Trainee if they fail to make payments within the established deadlines; any amounts previously paid will not be subject to any form of refund.


CHAPTER VI – CONDITIONS OF ATTENDANCE OF TRAINING

Duties of Trainees
- Attend the training course regularly and punctually;
 -Treat Edit Value, its representatives and staff with courtesy;
 -Commit to all activities that form part of the training process, complying with the operating rules and good relationship practices defined within the training group;
- Refrain from any act that may jeopardise the proper progress of the work;
- Justify absences, stating the reasons that gave rise to them;
- Use with care and ensure the proper conservation of equipment and other assets entrusted to them for training purposes;
- Bear the costs of replacement or repair of equipment and materials used during the training period, provided by Edit Value and its representatives, whenever damage results from intentional or grossly negligent behaviour;
- Inform Edit Value whenever they withdraw from the training course, indicating the reasons for such withdrawal.

Rights of Trainees
- Benefit from training in accordance with the programmes, methodologies and work processes defined;
- Have access to facilities, equipment and materials compatible with the type of training action;
- Receive guidance and the information necessary for proper participation in the training action.

Participant Registration Data
- When attending a training action at Edit Value, participants must fill in their details on the form provided by the Trainer at the beginning of the training action;
- The personal data provided by the participant on the form is used for the preparation of the technical-pedagogical file and the professional training certificate at the end of the training action;
- The processing of this data is the responsibility of Edit Value, which guarantees its confidentiality and security and undertakes not to disclose it to third parties, except for the purposes of delivering the training service.

Online Training Attendance – Single and Individual Use
Each access to the training must be unique and individual, and participation of other persons simultaneously using the same access is not authorised;
- Access to the training action is only permitted to participants listed by the Trainer, as provided by Edit Value;
- Training materials will be made available during the sessions or sent by email to participants by Edit Value;
- All teaching resources, including texts, videos, images, training plans, assignments, among others made available by Edit Value, are intended exclusively for the use of Trainees and may not be shared with any other individual or entity, even if they have paid for the training. Therefore, such materials may not be transferred to third parties, copied, reproduced or manipulated in whole or in part, nor used for commercial, advertising, self-promotion or third-party training purposes, even if the source is mentioned. Training content may not be shared, including with the company or any other entity that may have paid for the enrolment.

Absence Policy
1 – The Trainee may not have absenteeism exceeding 10%.
2 – Whenever this limit is exceeded, the Trainee will not be entitled to a Training Certificate but instead to a certificate of attendance stating the number of hours attended.
3 – All absences must be justified in writing by email, which will be filed in the Trainee’s individual record.
4 – Whenever possible, the Trainee may inform in advance their inability to attend the training session on that day in order to notify the Trainer in a timely manner.

Prohibitions
Smoking is strictly prohibited inside the rooms where training takes place.

Diagnostic Assessment
In training actions lasting more than 30 hours, a diagnostic assessment may be carried out which, without any grading intention, aims to identify the knowledge that Trainees possess at the time of entry into training. Once their profile is determined, the suitability of the planned modules/programme content may be assessed. This assessment aims to maximise the acquisition of knowledge and skills.

Assessment of Knowledge and/or Skills
1 – The assessment of knowledge and/or skills is mandatory only in training actions lasting more than 30 hours. In these training actions, the assessment of acquired knowledge takes place at the end of each module or only at the end of the training action, depending on the type of training. This assessment will be expressed quantitatively on a scale from 1 to 5, although evaluated from 1 to 100, and will result from the weighted average of the results obtained in the following two assessment instruments:
- Behaviour Observation Grid – aims to individually assess each Trainee’s learning path throughout the training action. Its weight in the final grade is 25%;
- Assessment Sheet and/or Practical Assignments – aims to assess the extent to which the topics covered have been learned by the Trainee. Its weight in the final grade is 75%.

Satisfaction Assessment
1 – The assessment of Trainee satisfaction takes place at the end of the training action and aims to evaluate the level of satisfaction regarding the training process that is ongoing or has just been completed. This assessment consists of the following indicators:
- Trainer Performance Assessment – aims to evaluate the level of satisfaction of Trainees regarding the Trainer of the module/action, assessing their demonstrated technical knowledge and pedagogical and professional skills;
- Final Assessment of the Training Action – aims to evaluate the level of satisfaction of Trainees regarding the structure of the course, facilities and equipment, the performance of the pedagogical coordinator and administrative support.
2 – The data collected will be statistically processed with the aim of continuously improving the quality of the services provided.


CHAPTER VII – TRAINING DELIVERY CONDITIONS

Equipment and Materials
In the case of face-to-face training, Edit Value provides a set of means, teaching resources and equipment made available to the Trainer and Trainees for the delivery of training actions.
In the case of online training:
1 – Edit Value training actions must be attended via a computer with an internet connection and a browser (such as Internet Explorer, Firefox, Google Chrome or Apple Safari). It is not necessary to install any application in order to attend the training actions. The use of smartphones or tablets to attend training actions is not recommended for several reasons, such as consulting information, completing documentation, carrying out certain activities, etc.
2 – The use of a camera is mandatory throughout the training.
3 – Edit Value Capital Humano shall not be responsible for the lack of technical conditions or occasional incidents that suddenly prevent the Trainee from attending the course, in whole or in part, such as computer breakdowns, issues with firewalls or installed protection systems (e.g. antivirus), internet access problems, temporary internet failures, loss of information, lack of disk space, misplacement, among others. Trainees must ensure they have preventive measures and alternatives in place in case such situations occur.
4 – Training materials, where applicable, will be sent by email to participants by Edit Value.

Schedules and Timetabling
1 – The dates, schedules and other information regarding training actions will be available at editvalue.com/formacao.
2 – Training actions which, due to force majeure, are not delivered on the days scheduled in the timetable will be rescheduled as soon as possible, so that the training programme is updated again, seeking to find a date agreed upon by the group of Trainees. Upon suggestion by Trainees or Trainer(s), the schedule initially established for the training actions may only be changed after unanimous agreement of all parties involved and validation by the Pedagogical Coordinator.
3 – Intra-company training actions take place according to the schedule agreed with the Client.

Locations
1 – Each year, Edit Value defines the Training Plan and the respective locations where it has facilities available for delivering training actions, in compliance with the requirements defined for space and equipment.
2 – Intra-company training takes place at the client’s premises or at any other location designated by the Client, provided that the requirements regarding space and equipment are met.


CHAPTER VIII – PROCEDURES RELATING TO COMPLAINTS AND CLAIMS

Complaints and Incidents
1 – Edit Value provides a Complaints Book and an electronic Complaints Book, and processes them in accordance with Decree-Law no. 74/2017 of 21 June.
2 – The Incident Report Form, available in the Technical-Pedagogical File of the training action, may be completed by Trainers and is intended to report incidents of various kinds. These forms will be forwarded to the Pedagogical Coordinator, who will handle them appropriately within a maximum period of 5 working days.


CHAPTER IX – RESPONSIBILITIES OF TRAINERS AND COORDINATORS

Recruitment of Trainers
The recruitment and selection of Trainers is the responsibility of Edit Value and is carried out in accordance with the company’s general operating criteria.
- Only applications for Trainer positions that include a cover letter, Curriculum Vitae, Certificate of Pedagogical Competences (CCP), Certificate of Qualifications and a copy of the Citizen Card will be considered.
- Trainer candidates must meet a set of requirements appropriate to the role to be performed, including: a cooperative spirit, communication skills, interpersonal skills, flexibility, tolerance and the ability to self-assess.

Selection of Trainers
The selection of Trainers depends on:
- The selection interview, which aims to ensure that the candidate’s profile is suitable for the training in question;
- The result of the Trainer’s Internal Evaluation carried out by Edit Value according to criteria defined in the Trainer Regulations;
- Approval by the entities that oversee certain training actions (IEFP, ANQ, ACT, etc.).

Trainer Conduct
The Trainer shall provide their services with dedication and diligence in order to promote good collaboration with Edit Value, so that the objectives and expected results of each course/training action are achieved.

Duties of the Trainer
1 – Ensure the training action is delivered with regular attendance and punctuality, complying with the total number of hours;
2 – Respect the established schedule, committing to arrive at least five minutes before the start of the training session in order to prepare the intervention;
3 – Find appropriate solutions for any (unforeseen) absences, so as not to compromise the proper functioning of the training action;
4 – Inform the training coordinator of (planned) absences and session changes at least 48 hours in advance;
5 – Structure the curriculum plan for the training action and submit the respective documentation within the deadlines defined by Edit Value;
6 – Participate in planning, monitoring, materials development and evaluation meetings of the course’s pedagogical team;
7 – Support Trainees throughout the training process, namely in curriculum development activities not organised in the classroom;
8 – Collaborate and provide the necessary information for the monitoring, evaluation and control of the training action by the competent authorities.

Competences of the Pedagogical Coordinator
The Pedagogical Coordinator is responsible for:
- Recruiting and selecting Trainers and Trainees (where applicable);
- Organising interviews;
- Organising documentation of Trainees and Trainers;
- Preparing the technical-pedagogical file;
- Preparing and/or adapting the timetable;
- Organising all supporting documentation;
- Monitoring and supervising training actions;
- Processing evaluation data;
- Reporting any irregular situations to the training manager;
- Reporting occurrences to the training manager so that they can be jointly analysed and an opinion issued;
- Preparing evaluation and training implementation reports;
- Disseminating results.

CHAPTER X – FINAL AND TRANSITIONAL PROVISIONS

Professional Training Certificate
- Participants are only entitled to a Professional Training Certificate if they attend the entire training and if their personal data is fully completed and up to date (such as the validity date of the citizen card);
- Certificates are issued and sent by email free of charge;
- The issuance of a duplicate certificate is subject to payment of €16 (VAT included) to cover administrative and logistical costs.

Personal Data Protection
The data provided by Trainees and Trainers is confidential, in accordance with the applicable legislation, namely Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (General Data Protection Regulation). Edit Value seeks to comply with best practices in terms of security and protection of personal data, promoting actions and improving systems in order to safeguard the protection of the data made available by Trainees and Trainers.
Completing our forms and providing data implies knowledge and acceptance of the conditions of this policy. By providing their personal data, Trainers and Trainees authorise its collection, processing, use and disclosure in accordance with the rules defined herein.
